Privacy & event communications

This page explains the types of event-related emails that RegisTrack may facilitate and how to contact us about communications.

About RegisTrack

RegisTrack is an event registration and management software platform developed by 2GS Development. Event organizers use the software to manage participant information and event operations. Specific data practices and available features depend on the organizer’s setup and the event.

Event information

Depending on the event, an organizer may request details such as name, email address, attendee type, registration status, and other fields relevant to the event. The organizer is responsible for explaining the purposes of its data collection and applying appropriate privacy practices.

Why attendees receive email

Organizers may also use the RegisTrack Email Center to send event announcements. Participants may receive transactional messages about a registration, QR ticket, badge, event operations, eligible election participation, or a certificate. Event announcements should only be sent to recipients who have agreed to those communications or where another lawful basis applies. Sending arrangements vary by organizer.

Delivery services

Event notifications may be sent using an email delivery provider chosen by the organizer or platform administrator. Providers may process the recipient email address and message content as necessary for delivery. An organizer should not send election ballot selections or other unnecessary sensitive information through email.

Corrections, preferences and requests

If you received an event email unexpectedly, please contact the event organizer identified in that message to correct your address or request that optional communications stop. For questions addressed to 2GS Development, contact [email protected]. Please do not email passwords, identity documents, or other sensitive information unless requested through an appropriate secure process.

Event inquiries and the client portal

Organizers who want to use RegisTrack can send an event inquiry through this website. We collect the contact and event details entered in the form (such as name, position, email, mobile number, organization, and event requirements) to respond to the inquiry, prepare a quotation, schedule meetings, and keep a record of our discussion. After submitting, the organizer receives a private client portal link by email to view the quotation, accept or decline it, book a meeting, and send messages. Anyone with that link can view the inquiry, so it should not be shared. Inquiry records are stored with our hosting provider (Cloudflare) and emails are delivered through Amazon SES. To correct or delete an inquiry, contact [email protected].

Registering for an event on this website

Some events take registrations directly on their page on this website. We collect your name (prefix, first name, middle initial, surname and suffix), email address, contact number, how you will attend (on-site or online, for hybrid events), your PRC ID number when the event asks for it, and a photo for your event badge. These details are used only to run that event for its organizer: registration, your badge, attendance, and certificates. Your registration is confirmed by email through Amazon SES, and the details are stored with our hosting provider (Cloudflare). Your photo is deleted from this website 2 days after the event ends, and all your registration details are deleted 30 days after it ends. The organizer may keep its own copy in its RegisTrack event records. To correct or cancel a registration, contact the organizer named on the event page, or [email protected].

RegisTrack app update check

From version 1.8.0, the RegisTrack desktop app asks this website once a day whether a newer version is available. The request contains only the installed version number and a random installation number created by the app; it contains no event, attendee, organizer or license information. We store a one-way hash of the installation number with the version and the date it was last seen, only to count how many installations use each version, and delete it after 180 days without a check. The app shows a notice when an update exists; it never downloads or installs anything by itself.

About this website

This website does not intentionally load advertising pixels or third-party analytics scripts. The inquiry form saves an unsent draft only in the visitor's own browser. Hosting and network providers may process standard technical connection data to operate and secure the site.

For event-specific privacy requests

If you registered as an attendee of an event, contact the organizer of that event. This website does not administer individual attendee registrations.
